Wasim Terms

Version 1.0 · Effective date: 22 October 2026

These terms apply to Wasim together with the Viora Terms of Service, which identify the provider and cover accounts, payment, refunds, support, liability and disputes. In these terms, “Viora”, “we”, “us” and “our” mean Warif albariah Establishment (مؤسسة وريف البرية), identified in the Viora Terms; Viora is a brand the establishment uses. These terms govern Wasim-specific matters. The Arabic version prevails if the language versions differ.

1. Licence and access

Wasim is licensed, not sold, for organising, analysing, labelling and reporting on wildlife field images for your own or your organisation’s work. Each active seat permits one person, using their own account, to use Wasim on one computer. Contact support@v-ora.co to move your licence to a replacement computer; genuine computer changes are free and normally completed within two working days.

Do not share accounts, exceed your licensed seats, bypass licence controls, remove rights notices, or sell, rent or sublicense Wasim. Copying, decompilation and reverse engineering are prohibited except where applicable law permits them, including lawful backup, maintenance, error correction, study, interoperability and security testing. Third-party components remain subject to their own licences and notices, supplied with Wasim.

An internet connection is required to sign in. Wasim checks your licence approximately hourly while online and can operate offline for five elapsed days after its last successful check, including time when the computer is off. It then requires an online sign-in. Signing out also requires a connection to sign back in.

Your entitlement includes any applicable grace period under the Viora Terms. It is suspended during a suspension of access, and from the date set under the Viora Terms for accepting changed terms until you accept them. It ends when your subscription or seat ends or your subscription is refunded. Wasim applies the change at its next successful licence check, subject to the offline period; a technical delay does not extend your licence. Your local project files remain yours, but opening them in Wasim requires an active licence.

2. Compatibility, updates and AI

Wasim is a desktop application for Windows 11 (64-bit) only; check that your computer meets this requirement before buying. Updates download automatically and cannot be switched off. A downloaded update installs when you choose to update, when you close Wasim, or when you next open it. It is not installed while detection, Smart classification, date reading (OCR), export or upload work is running; if you close Wasim during such work, it installs the next time you open Wasim. Some releases may require a fresh installer. Download only through Viora’s official website or links we provide.

Detection, species classification and text recognition run on your computer. They can miss subjects, suggest incorrect species or misread dates and times. No accuracy level is guaranteed. Review suggestions before accepting them or relying on reports; you remain responsible for your conclusions.

3. Plans and teams

PlanSeats included
Pro1
Teams S5
Teams M10
Teams L20

Plans are offered for monthly or yearly terms. Each team plan is purchased as a whole, whether or not all seats are used. Every plan includes 10 GB of live cloud storage and 1 GB of archive storage per seat, using decimal gigabytes. We contact you before enforcing an allowance.

Teams grow by upgrading to a larger team plan, not by buying individual extra seats. The upgrade charge is the difference between the plans’ total monthly rates for the remaining months of the current term, with a partial month counted as a whole month. We show the charge before payment. The end date stays the same; renewal at the new amount requires a new authorisation.

There is no downgrade or reduction of seats during a paid term, except to correct an order error under the Viora Terms. To move to a smaller plan, stop renewal and contact us before the current term ends. Individual and team plans cannot be exchanged in place; contact us about a new subscription and any transfer of cloud projects.

The owner is the paying account and manages the team. Ownership alone does not consume a seat or license Wasim. The owner can also take one included seat as a manager, leaving the remaining seats for others. Each manager and member uses one seat. Only the owner changes the team; Viora staff may assist at the owner’s request.

The owner must be authorised to provide invitees’ details and ensure they are at least 18. Each user personally accepts the applicable terms. The owner sees members’ names, emails, roles and membership status and whether a computer is registered to each seat; colleagues see the team name and colleagues’ names and roles. The owner and managers also see each member’s work activity in the team dashboard—including when they were first and last active, uploads, sessions, time, labels, progress and acceptance or correction of AI suggestions, by project and day—and the owner may receive it in monthly email reports. Each member can see their own activity. Managers can view and export every team project, including projects a member has not shared with colleagues. Members can access their own projects and projects shared with them; people invited to a project can view, download, edit and mark it finished, and invite others to it.

Removing or deactivating a seat ends access without reducing the plan’s price. Past contributions stay with the team, and local files cannot be remotely removed. An unused account created solely by a team invitation may be deleted when that invitation is removed. Removing the owner’s own seat does not remove their ownership or account. Ending or refunding a subscription affects everyone on it.

4. Local files and the cloud copy

Wasim reads your original photographs without moving or altering them. Photographs, videos, thumbnails and image crops are not uploaded for the cloud copy or AI analysis. Wasim does not automatically upload absolute file paths. Content you type into notes, names or other fields is included as entered.

Cloud projects contain metadata and work records, including exact camera coordinates, photograph names and paths relative to the project folder, labels, detection and classification results, notes, change history, activity records and contributor details. These can contain personal or confidential information even though images stay local. Exports and reports may also contain exact locations and records of people; check them before sharing.

Cloud uploads are on by default. On an individual plan, the initial choice allows local-only use; dismissing it leaves uploads on. You can change this in Wasim. Team members follow the owner’s team upload setting. Uploads and downloads require a connection and operate while signed in; local work can continue within the licence’s offline limit.

Cloud storage is private, but is not encrypted with a key held only by you. Viora and its hosting providers can access it to operate and support the service or comply with law. Providers, locations and overseas transfers are disclosed in the Privacy Policy. Content is made available only to authorised users, service providers and others permitted by law. We claim no ownership and do not train AI models on it without a separate opt-in.

Making a dashboard link (a shared report at report.v-ora.co) creates a separate hosted snapshot. Dashboard links require cloud uploads to be on. Anyone with its link—and passcode, if set—can view or copy its contents, including exact camera coordinates. Choose an expiry of 1, 7 or 30 days and end the link when sharing is no longer needed. Updating the report replaces the snapshot and restarts the chosen period. A refund, deactivation or switching off team uploads does not automatically revoke existing report links; switching off individual uploads ends that individual’s links. End other links before a refund or deactivation if you want sharing to stop. Contact support for authorised removal if product access has ended. The Privacy Policy explains report contents, opening counts and separate retention; mandatory destruction duties and lawful rights requests remain unaffected.

Keep independent backups of your project folders and original images. The cloud copy does not include your photographs and is not a separately guaranteed backup service. We do not promise a particular historical restore point. Our responsibilities under the Viora Terms still apply. We notify you without undue delay of a security incident affecting your cloud content and notify authorities as required.

5. Deletion and getting your projects back

EventWhat happens to cloud projects
Archive a projectPermanently deleted on or after day 10 unless restored to live storage before deletion; you may delete it sooner.
Switch off uploads on an individual planUploads stop at once and your dashboard links end; turning uploads back on does not restore those links. Your cloud projects are kept for 30 days and then permanently deleted, on or after day 30; while uploads are off they cannot be downloaded. Turning uploads back on before then, which requires a connection, cancels the deletion. Archived projects keep their own deletion date, which can come sooner. On each computer, the setting cannot be changed again for one hour. If the projects have been deleted, turning uploads back on sends each local project again when it is next opened.
Owner switches off team uploadsUploads stop once the setting takes effect, normally within a few minutes. Existing cloud projects remain readable and downloadable for at least 30 days, then are deleted unless uploads are re-enabled before deletion.
Full refund under the seven-day promise or our discretionAll live and archived cloud projects for the subscription are deleted immediately, including the entire team’s projects.
Subscription expires, or the agreement ends without a refund under the seven-day promise or our discretion (including a refund under section 11 of the Viora Terms)Cloud projects are retained for 90 days after the last paid term ends, or after earlier termination, then deleted. We email the payer before deletion.
Individual account closureIts cloud projects are deleted as part of closure; where purchase records must be kept by law, we keep only those records and switch off sign-in. A team member’s closure does not delete the team’s projects; an owner’s closure requires agreed arrangements for the team.
We discontinue Wasim or its cloud servicePaid terms are honoured, followed by 90 days to obtain cloud projects. This does not include an extra 90 days of ordinary Wasim use.

An earlier deletion you request, a refund, archive expiry, or the deletion period that follows switching off individual or team uploads still applies; later expiry of a subscription does not restore deleted projects or extend those earlier periods. Legal preservation duties or binding orders may require different treatment, as explained in the Privacy Policy.

Before a refund, account closure or switching off individual uploads, download any project you need, especially archived projects that exist only online. Deleting a local project with “Delete” does not delete its cloud copy; “Delete and archive” also moves the cloud copy to the archive, where the archive rule in the table above applies. Deleting a cloud copy does not delete local projects, photographs or exports. Residual recovery copies, where held by providers, expire under the finite periods disclosed in the Privacy Policy and are unavailable for ordinary use or customer restoration.

While a cloud project remains available after access ends, contact support@v-ora.co for a free copy in Wasim’s native project format. We arrange temporary access to download it into Wasim. A team owner can request retrieval through an authorised team seat. Restoring a project requires the original photographs on your computer. A refund’s immediate deletion leaves no later retrieval window.

6. Field work and restricted data

You are responsible for permissions to place cameras, use land, work in protected areas and conduct research. Wasim grants no permission and does not check it. Handle images and records of people lawfully; do not use Wasim to unlawfully monitor, identify or track people. Obtain a lawful basis and give required notices for other people’s details you enter.

Exact coordinates are not blurred or rounded in cloud projects, shared projects or exports. You control who receives exported files. Protect sensitive locations and never use Wasim to facilitate unlawful hunting, capture, disturbance or trade in wildlife. Serious misuse may lead to suspension or termination under the Viora Terms.

The standard cloud service may process data outside Saudi Arabia and is not offered as approved hosting for Saudi government-agency data. Do not upload that data, or other data requiring hosting we have not agreed to provide, without a written arrangement that meets the applicable requirements. Switch uploads off before opening such projects; team owners must set the policy for the whole team and confirm it has taken effect. Uploads are switched off for the whole account or team, not for one project, so this starts the deletion period in section 5 for all existing cloud projects, and turning uploads back on later uploads such projects when they are next opened. Contact us before use if required controls cannot be assured. A government entity purchases through us directly by contacting support@v-ora.co; its purchase requires its express written consent to electronic dealing as well as compliance with applicable procurement and data rules.

7. Processing personal data for you

Where you determine why and how personal data in projects is processed and Viora processes it on your behalf, you are the controller and Viora is your processor. For an organisation, “you” means that organisation acting through its authorised owner. Viora’s separate processing for accounts, billing and service administration is described in the Privacy Policy.

We process project data only on your documented instructions in this agreement and your authorised users’ choices, to store, retrieve, share, support and delete projects, and to calculate team work totals, show them per member to the team’s owner and managers in the team dashboard and to each member for their own work, and produce and email activity reports to the team owner. When instructed, we also create, host and deliver shared-report snapshots, administer their access and expiry, and provide successful-opening totals to the sender. Data may include contributors’ and operators’ identities and contact details, notes, observations of people or vehicles linked to times and locations, and per-person project activity such as sessions, time, labels and AI corrections. Processing lasts while projects are stored, followed by the deletion and residual-copy periods described above and in the Privacy Policy; shared reports follow their separate expiry and retention schedule there. Project-linked work totals are deleted with their project; report emails already delivered to the owner remain under the recipient’s control, and our delivery records follow the Privacy Policy’s retention criteria. We notify you in writing without undue delay if your instructions or our processing conflict with Saudi law or your instructions.

We restrict access to people who need it and are bound to confidentiality, use appropriate safeguards, assist with data-subject requests and compliance enquiries, and provide information reasonably needed to verify our compliance. On reasonable written request, and no more than once a year unless the law requires otherwise or after a personal data breach, we cooperate with a review of our compliance by you or by an independent reviewer you appoint who is bound to confidentiality. We notify you without undue delay of a personal data breach affecting data processed for you. We may make disclosures required by Saudi law without prior customer authorisation and notify you unless legally prohibited.

The project-processing providers are Cloudflare (cloud-project storage, team work records, shared-report hosting and website delivery), Supabase (relaying team-dashboard data and preparing team reports) and Resend with Amazon SES (delivering team-report emails); their locations are identified in the Privacy Policy’s provider schedule. That schedule and the applicable retention periods, as supplied when you accept these terms, form part of this processing agreement. You authorise the listed providers to process data for these purposes. Providers act under written obligations and Viora remains responsible for their work. Before contracting with an additional or replacement project-data processor, we email you at least 30 days before the change takes effect, allow you to object during that period, and obtain your prior acceptance. The extended acceptance period in the Viora Terms does not apply to such a change: if you have not accepted it by the date it takes effect, access to Wasim and its cloud service for your account is suspended from that date until you accept. If we cannot resolve your objection, you may terminate before the change and receive a refund of prepaid fees for the unused period.

Viora operates under Saudi law. Providers established abroad may also be subject to foreign laws and authority requests, which can affect confidentiality and compliance. Overseas processing must follow the safeguards and transfer arrangements disclosed in the Privacy Policy; this clause is not consent to an otherwise unlawful transfer. At the end, we return or delete data under section 5 and the shared-report retention periods disclosed in the Privacy Policy, subject to lawful retention requirements. No use for independent model training is authorised.

8. Organisation subscription agreement

For a team subscription purchased for an organisation, this section, the order details shown before payment (the team name, plan, seats, term and total price) and the receipt in your account constitute its Organisation Subscription Agreement with Viora, which incorporates the Viora Terms and these Wasim Terms, including section 7. On request, we provide a confirmation suitable for signature that identifies the organisation, owner, plan, seats, term and total price.

The purchaser confirms authority to bind the named organisation and appoint the owner to manage its subscription, seats and cloud settings. The organisation is responsible for those instructions and for lawful use by its authorised users. Each user must still accept the terms personally. No ownership of the organisation’s content transfers to Viora. A separately signed agreement prevails where it expressly differs; mandatory law always applies.
